Venue and catering together usually eat 40–50% of a wedding budget. If your all-in budget is $40,000, your venue + food likely needs to land around $16,000–$20,000. Knowing that number up front saves you from touring places you'll only fall for and then can't afford.

Guest count matters just as much. A space that feels magical with 60 people feels empty with 30 and claustrophobic with 150. Get to a realistic headcount before you tour even a rough range so you're only looking at venues that fit your crowd comfortably.

A quick reality check: if you've already spent most of your budget dreaming about the venue, build the rest of your plan around what's actually left. Transparent budgeting beats wishful thinking every time.

All-inclusive venues bundle catering, tables, chairs, linens, and often coordination into one price. More expensive per head, far less work, fewer surprises.

Blank-canvas venues rent you the space and little else. Cheaper to book, but you source every vendor and rental separately, which adds cost and coordination you have to manage yourself.

Neither is better. If you love planning and want full control, blank canvas can save money. If you'd rather make a few decisions and be done, most-or-all-inclusive is worth the premium. Just know which one you're signing up for before you sign.

Light

Light is everything for both photo and video. Ask:

Where does the sun hit during your ceremony time? A west-facing outdoor ceremony at 4 PM means everyone squints into the sun.
How much natural light does the reception space get? Big windows in the right spot are a gift. Dark, fluorescent-lit rooms are a challenge.
Is there a spot for golden hour portraits? The 30-60 minutes before sunset is when wedding film looks cinematic, a venue with a pretty exterior or open sky nearby is a real advantage.

Space and Flow

Where do getting-ready, ceremony, cocktail hour, and reception happen, and how far apart are they?
Is there a private suite to get ready in, or do you arrive already dressed?
Does the layout create natural gathering spots, or will guests feel scattered?

Sound

Are there noise ordinances or a hard music cutoff? (Common at estates and outdoor venues.)
Is the ceremony spot near a road, airport, highway, or crashing surf? Beautiful coastlines can wreck your vow audio.

The Practical Stuff

Parking and accessibility for older or mobility-limited guests
Restrooms (real ones vs. portables)
Power access for vendors
A bad-weather backup plan you'd actually be happy with

Questions to Ask Before You Book

What's included in the price, and what costs extra? Get it itemized.
How many hours do we get, and when does coverage start and end? This drives your whole timeline.
Is there a hard end time? Estates and residential-area venues often cut off by a time dictated by law.
Do you have a preferred vendor list, and are we required to use it? Some venues mandate in-house catering or charge fees for outside vendors.
What's the rain / weather backup plan? "We'll figure it out" is not a plan.
What's the deposit, payment schedule, and cancellation policy?
Is there liability insurance required?
How many weddings do you host per day? Back-to-back events can mean rushed setup and strict timing.
Are there restrictions on candles, sparklers, drones, or confetti? (Worth knowing if you want certain shots.)

The Mistakes Couples Make Choosing a Venue
